Who we are

AI Scouts is an AI-powered research interview platform operated by AI Scouts (“we”, “us”, “our”). We help researchers and organisations collect insights from participants through AI-conducted interviews.

What data we collect

Account holders (researchers)

Email address and password (via Supabase Auth), and your name if you provide one
Interview briefs, objectives and interviewer settings you create, including the transcript of the conversation you have with the AI while creating a scout
Participant responses, transcripts, summaries and debriefs collected through your scouts
Directed invitations you send: the invitee’s name and email address
Subscription status and Stripe customer identifiers (if you upgrade to a paid plan)
API keys you generate (stored as a hash; the key itself is shown to you once)
Usage activity (which scouts you create, when, and how many responses they receive)

Participants (interview respondents)

Your name, as entered on the welcome screen (up to 100 characters)
Your email address, if you schedule a session for later or choose to provide it when you start
Your timezone and the time slot you book, if you schedule a session
The full transcript of your spoken or typed responses during the interview
An AI-generated summary of your interview, which the researcher can read
Time and date of participation, and whether the interview was completed
If a researcher invited you directly, the name and email address they entered for you

We do not store audio recordings of your voice. Speech is converted to text in your browser (see “Third-party processors”) and only the text is kept.

Technical data (all users)

IP address and browser information (standard server and hosting request logs)
Authentication cookies required for session management

How we use your data

To provide the interview and research platform
To generate AI summaries of interview conversations
To send transactional emails (account confirmation, password reset, calendar invitations, session reminders and researcher invitations)
To bill paid plans and enforce plan limits
To improve the reliability of the platform

We do not sell your personal data. We do not use interview responses to train AI models.

Data retention

Account data, interview transcripts, participant responses and summaries are retained until the researcher deletes the scout, deletes the individual participant response, or deletes their account. We do not apply an automatic retention period.

Deleting a scout removes its participants, transcripts, summaries and invitations. Deleting an account removes every scout it owns, along with all of the above, and cancels any subscription.

If you took part in an interview and want your response removed, ask the researcher who invited you, or email hello@myaiscouts.com and we will delete it (see “Your rights” below).

Cookies

We use only essential cookies required to keep you signed in. We do not use advertising or tracking cookies.

Your rights

Depending on your location, you may have the right to:

Access the personal data we hold about you
Correct inaccurate data
Delete your data (“right to be forgotten”)
Export your data in a portable format
Object to certain processing

Researchers can delete their account from Settings. This cancels any subscription and permanently deletes your scouts, participant responses, transcripts and summaries. You can export your data at any time through the API (keys are managed in Settings) or by emailing us.

Participants can ask the researcher who invited you to delete your response, or contact us directly.

To exercise any of these rights, email hello@myaiscouts.com. We will respond within 30 days.

Children

Account holders must be 18 or older. The Service is not designed for participants under 13, and Researchers must not interview a minor under 13 without verifiable parental consent. If you believe a child under 13 has provided us with personal data, please contact us and we will delete it promptly.

Changes to this policy

We may update this policy from time to time. We will notify registered users of material changes by email. Continued use of the service after changes constitutes acceptance.
